Key Recruitment are delighted to be working with an excellent client looking for an experienced Deputy Operations Manager to lead three key support functions (Records, Secretarial and Workflow teams) to ensure a smooth end to end patient experience.

 

The ideal candidate will have strong leadership skills to ensure that all three departments are fully supported, coaching and developed in order to meet the needs of their patients and their key deliverables. The role is based in the Southampton area and will require travel to local sites.

 

This is a permanent full-time role, working 37.5 hours Monday to Friday and offers an attractive salary of between £29,330 and £32,320 per annum.

 

The key responsibilities of the role include but are not limited to:

 

Records Management Team

·         Lead and support a busy records management team to action a high volume of requests for information from patients and third parties such as solicitors, insurance companies, the Police and Government agencies in line with documented processes and within agreed timescales

·         Be responsible for ensuring that time critical or urgent requests are identified and proactively addressed or escalated

Secretarial Team

·         Lead and support a busy secretarial team to work at pace to process a consistently high volume of electronic referrals, dictations and tasks as requested by the clinical team, ensuring urgent requests are identified and prioritised.

·         Ensure patient records and documentation are accurate and up to date

Workflow Team

·         Lead and support a busy workflow team to process a consistently high volume of incoming electronic and paper correspondence from other healthcare providers, including hospitals, District Nurses, care services and pharmacies, in line with documented processes and within agreed timescales

Management

·         Create and distribute a daily operations dashboard. Use initiative to identify and proactively address any areas of concern or functional priorities and effectively communicate decisions to the team and senior team.

·         Utilise strong leadership skills to support, inspire and drive the teams. Help to develop a culture of accountability, continuous improvement and collaboration.

HR

·         Manage the resource schedule including recruitment, on-boarding, absence management etc. to deliver KPI’s

·         Deliver ongoing training and development plans and ensure they are maintained for all team members.

 

 

 

Essentials for the role:

·         Experienced management of KPIs and quality outcomes

·         Experience working at an Operations Manager level (+3 years)

·         Experience working within an NHS/Medical environment (+3 years)

·         Capable of developing an expert knowledge of functions and regulations following training

·         Highly motivated and able to empower others

·         Strong coaching and people development skills
