Key Recruitment are delighted to be working
with a client based in Portsmouth who are looking for an experienced Personal
Assistant on a permanent, full-time basis. The salary for this position will
be up to £24,500
You will provide PA support to the leadership
team to ensure effective and efficient operation of their offices.
The key responsibilities for this position
are:
- Manage the diaries of the designated members of the Leadership
Team, generate and/or respond to meeting requests and take action to resolve
clashes
- Produce correspondence, letters, reports, minutes and
presentations as necessary and maintain effective and efficient filing
systems
- Manage email inbox; delete unwanted emails,
draft/send responses where appropriate and highlighting priorities to the
LT member for action
- Arrange meetings, including Board meetings, member
meetings, management team meetings, and events including the AGM, team
away-days etc; make room bookings, organise relevant equipment, room
set-up documentation and refreshments as required
- Arrange travel and accommodation bookings as required
- Process holiday requests, expenses and credit card
reconciliations in accordance with policy and designated timescales
- Assist in the accurate and timely publication of
papers ahead of meetings, including those of the Leadership Team and Board
- Make all necessary arrangements for, and liaise with
Directors regarding, attendance at conferences and other Board
appointments
- Assist in the organisation of Director Induction and
training sessions and to maintain up to date records of such
- Send condolence letters to the next of kin of
deceased pensioners and arrange donations in their memory, reporting such
to the Board
- Work closely with the PA(s) and provide assistance to
the wider LT when required
To be successful in this role you will need
to have the following skills and experience:

Proven experience in a similar
role, preferably in a fast-paced environment

Excellent IT skills, excellent
knowledge of MS word, Excel and PowerPoint
·
Exceptional written & verbal
skills
·
Good accuracy and attention to
detail
·
Ability to work on own initiative
and within a team environment
·
Flexible and adaptable
